Job Description – Office Coordinator and Related Staffing Modules

About the Creative District

The Corazon de Trinidad Creative District (CD) is organized to attract artists and creative entrepreneurs to the area, infusing new energy and innovation to promote the economic and civic capital of the community. The District works to create economic activity hubs and provides a focal point for celebrating and strengthening Trinidad's unique identity and sense of place.

 About “The Commons”

The Commons at Space to Create Trinidad will soon be a busy hive of community energy, creativity and entrepreneurial efforts. With one eye towards enriching community life and another towards strengthening our local economy, the Commons aims to be a dynamic and ever-evolving place to gather, to share, to inspire, and to create.

 

The Commons will open in phases starting in summer 2020.  The first portion to be open will be offices for the Corazon de Trinidad Creative District and Trinidad Economic Development Coordinator, and co-working space.  This initial phase also includes build-out of essential features such as adequate exits/egress and restrooms. The goal is to enable public use of the Commons as elements of the interior are finalized, funded and constructed.

About the Office Coordinator and Related Staffing Modules

The office coordinator (OC) assists the Corazon de Trinidad Creative District (CD) with the full spectrum of operations at the district’s office and the commons facility, in cooperation with the City of Trinidad Economic Development Coordinator (EDC) and staff.

 

OC sits at the front desk for security and to create a welcoming feeling when entering the space.

  • Must have experience in office reception, as an administrative assistant, or similar position. This role is critical for first impressions. Must be friendly and energetic, but polite. 

 

OC organizes a group of volunteers/work-traders to help with ongoing CD and Commons operations.

  • Experience in event management and community partnership building is critical.

  • Experience in IT, facilities, systems thinking, and people management and software development.

 

OC manages marketing campaigns with the help of the CD Executive Director and other board members.

  • Experience with website maintenance and promotions

  • Experience in growth hacking, content marketing, digital and print advertising, and design will be beneficial.

Greeting & Reception

  • Greeting guests and informing Commons members of guest arrivals

  • Accepting packages and sorting mail

  • Maintaining office supplies

  • Opening and closing space daily

  • Maintaining kitchen area and supplies

  • Keeping space tidy throughout the day

 

CD Members/Commons Co-maker and Tenant Services

  • Member and Tenant Signups

  • Member and Tenant Communications

  • Schedule Commons and Creative District Tours

  • Introducing new members/tenants to the community and facilitating connections

  • Membership and Tenant Sales Strategy 

  • Hosting member and tenant gatherings

  • Tenant Policy Development and Enforcement

  • Creating the Commons space “vibe” (a general awesome feeling that resonates with occupants and visitors)

  • Tenant Billing Dispute Resolution

  • IT Systems Maintenance (CRM, network reliability, software integrations, etc.)

 

Event Coordination, CD and Commons

  • Event Planning and Events Strategy (what types of events to get what results?)

  • Content/Event Partnership Building and Networking

  • Event Logistics and Execution

  • Space setup and teardown

  • Organizing catering and entertainment

  • Greeting attendees and performing attendee check-ins

  • Testing and running A/V equipment

  • Event Rental services and procedures

 

Marketing

  • Commons Marketing Strategy Development

  • Online Marketing (social media, content marketing, advertising, blogging, etc.)

  • Print Marketing (flyers, brochures, exterior signage and murals, etc.)

  • Design

  • Copywriting

Compensation

Wages are based on hours worked on site and are commensurate with experience.

  • Demonstrated hard and soft skills.

  • Level of education.

  • History in the sector or industry.

  • Relevant work experience.

 

Baseline compensation: 

  • Full time $40,000/1st year contract, OC duties plus at least one additional Staffing Module

  • Part time $10,000 - $20,000 depending on Staffing Modules assumed, qualifications,  experience, and weekly hours.
